1. Introduction
HowdyCal ("we", "our", "the Service") is a voice-powered AI calendar assistant operated by Chris Lambert. This Privacy Policy explains how we collect, use, store, and protect your information when you use HowdyCal.
2. Information We Collect
2.1 Account & Authentication Data
When you sign in with Google, we receive and store:
- Your Google account email address, display name, and profile picture
- Google OAuth tokens (access and refresh tokens) used to interact with Google Calendar on your behalf
2.2 User Settings & Preferences
We store configuration you provide, including:
- Your timezone and home city (including geocoded coordinates)
- Custom event formatting rules and preferences
- Selected calendars for display and event creation
- Notification and scheduling preferences
2.3 Voice & Audio Data
When you use HowdyCal's voice features:
- Audio from your microphone is streamed in real time to our speech-to-text provider (Deepgram) for transcription
- We do not store raw audio recordings on our servers
- Transcribed text is processed to create calendar events and may be retained to improve service quality, develop features, and provide you with a history of your voice interactions
2.4 Calendar Data
With your authorization, we access your Google Calendar data to:
- Read your existing events to display them and provide scheduling context to the AI
- Create, modify, and delete events on your behalf
- List your available calendars
- Analyze event patterns, scheduling habits, and calendar usage to provide intelligent suggestions, insights, and automated scheduling assistance
- When you save your settings, extract a list of distinctive keyterms (proper nouns, venues, activities, recurring contact names and email domains) from your recent and upcoming events. To do this, event summaries, locations, short descriptions, attendee display names, and aggregated non-public email domains from a ±14-day window around your selected calendars are sent to Anthropic (Claude) along with your free-text rules; only the resulting keyterm list is stored on our servers. The calendar text itself is not retained.
2.5 Location Data
When you mention locations in voice commands or event descriptions:
- Location queries are sent to Google Maps/Places API for resolution
- Your home city is used to bias location searches for relevance
- We may store location preferences and frequently used locations to improve suggestions
2.6 Usage & Interaction Data
We may collect information about how you interact with the Service, including:
- Event creation patterns, types of events, and scheduling behaviors
- Feature usage and interaction frequency
- Attendee and contact information associated with calendar events you create or manage
- Error logs and diagnostic information
3. How We Use Your Information
We use the information we collect to:
- Provide core functionality — convert voice input into calendar events, manage your schedule, and display your calendar
- Power AI features — use your calendar context, preferences, and interaction history to generate intelligent event suggestions, smart scheduling recommendations, and proactive calendar management
- Improve the Service — analyze usage patterns to enhance accuracy, develop new features (such as automated scheduling, event conflict resolution, follow-up suggestions, and calendar insights), and optimize performance
- Personalize your experience — remember your preferences, learn your scheduling habits, and tailor AI responses to your communication style and calendar patterns
- Communicate with you — send event confirmations, scheduling suggestions, reminders, and service updates when you opt in to such notifications
4. Third-Party Services
HowdyCal integrates with the following third-party services to provide its functionality:
- Google Calendar API — to read, create, modify, and delete calendar events with your authorization. Governed by the Google Privacy Policy. Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
- Google Maps/Places API — to resolve location names and addresses mentioned in your voice commands
- Deepgram — to convert your speech to text in real time. Audio is streamed directly and is subject to Deepgram's Privacy Policy
- Anthropic (Claude) — to process transcripts and generate structured calendar events using AI, and (on settings save only) to extract distinctive keyterms from your free-text rules and a ±14-day window of your selected-calendar event summaries, locations, short descriptions, and attendee display names + non-public email domains, so that voice transcription is biased to recognize the vocabulary you actually use. Data sent to Anthropic is subject to Anthropic's Privacy Policy
We do not sell your personal information to any third party.
5. Data Storage & Security
- Your data is stored in encrypted, server-only app storage (Cloudflare)
- Google OAuth tokens are stored securely and used only to access Google Calendar on your behalf
- All communication between your browser and HowdyCal is encrypted via HTTPS/TLS
- We implement reasonable technical and organizational security measures to protect your information
6. Data Retention & Deletion
- Your account data and settings are retained as long as your account is active
- Voice transcripts, interaction history, and usage data may be retained to improve the Service and provide personalized features
- You can disconnect your Google Calendar at any time from within the app, which revokes our access and deletes your stored Google tokens
- To request complete deletion of all your data, contact us at the email below
7. Cookies & Session Data
HowdyCal uses the appato workspace session to keep you signed in. We do not use tracking cookies or third-party analytics cookies.
8. Your Rights
You have the right to:
- Access the personal data we hold about you
- Request correction or deletion of your data
- Revoke Google Calendar access at any time through the app or via your Google Account permissions
- Opt out of any future data-driven features or personalization
9. Children's Privacy
HowdyCal is not directed at children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.
10. Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be reflected on this page with an updated "Last updated" date. Continued use of HowdyCal after changes constitutes acceptance of the revised policy.
